Time Sensitive Con Note Screen: Common Receiver Name - Frequently Asked Questions

Introduction


The Common Receiver name field is designed to make it easy to find all consignments going to the same location.

Periodic reviews are done to identify locations that have received time sensitive deliveries.

There are some limitations to updating the field which may result in the field being blank or having several entries.

This article attempts to answer questions about how this field is populated.
  1. Shouldn't there only be one way to write an address?
  2. Why is the common receiver field blank, when I know it should be populated?
  3. Why are there multiple receiver names against a single consignment?
  4. The common receiver name against my consignment is wrong.
  5. How should I set my view to ensure I don't miss anything time sensitive?

Shouldn't there only be one way to write an address?

No . Even the most simple addresses can be presented in a multitude of ways.

For example,

This only gets more complicated when the address is commercial.   Below is a list of different ways our customer present the address for Amazon in Cranbourne West.

Typo in Street Number


If you look carefully, you will see that they are all different in some way.   In fact, address 11 does not have an address in it at all.   

Shopping centre's, high rise buildings and business parks all have even higher levels of address variations.

Where an address is provided in a non standard format, it requires "cleaning".
  1. Because addresses can be presented in a number of different ways, Bex take advantage of address cleaning services that return a "clean" address when sent a "dirty" one.
  2. Bex use two different services to maximise our chances of automatically receiving a clean address.
  3. Following this, some addresses are still unresolved.
  4. The address is then flagged for our master data team to attempt to resolve.

Finally, if there is not enough information to resolve an address, it may be necessary to raise the address quality being sent to Border Express with the customer.

Why is the common receiver field blank, when I think it should be populated?

There are several reasons the common receiver field may be blank.

New variation of address

The way a customer writes the address may differ from the way other customers have written it in the past AND our address services can not resolve it automatically.

This can happen
  1. When a new customer comes online
  2. When an existing customer starts sending to a new reciever

Address missing critical information

In the example below, the address provided does not have any mandatory address fields.  That is, it does not contain an address.

Address has error or typo.

Sometimes a mistake is made when typing an address in the customers system.
In the example below the address is meant to be Amazon, located at 95 Whitfield Boulevard.

In this case, an address may be able to be resolved:
  1. if there is no real address at the incorrect address.   (e.g. Number 97 does not exist)
  2. If there is no business at the incorrect address (this may cause problems later if a business or residential address starts to be used)
However if there is another legitimate residential or commercial location at the mis typed address, the address can not be resolved to this location.  In this circumstance, the customer should be contacted to update the address in their system.

What can I do?

In all of the above cases you can:
  1. Wait for a periodic review for the common receiver to be updated.
  2. Raise a request for the master data team to update using the form provided.
While you wait, you should update your own business processes to ensure that you are capturing this address when you are planning deliveries to common receivers.


Why are there multiple receiver names against a single consignment?

When we deliver to an address, like a shopping centre, there are many ways the address can be presented.
Bex have created the common receiver field for principal use by bookings teams.   As such the Common Receiver names against a location are shown as the common TIME SENSITIVE receivers.

In the example below for Eastland, all stores are tagged with our three most common time sensitive freight receivers at that address.   


In the common receiver filter, when you select any of the common receivers Matchbox / Big W / Target, all consignments will show, whether they are to these stores or not.
This is because they are all being delivered to the same location.  (Eastland)

This has advantages:
  1. Allows easy search for all consignments going to the same location, regardless of individual store.
And disadvantages:
  1. If you are looking for all deliveries to a non time sensitive location, you will need to use another combination of filters. [e.g. Look for Contains "Seph" in Receiver name to find Sephora deliveries.]
In the example above the following Common Receiver names are missing: 
  1. Lowes
  2. SDS
  3. Sephora
  4. TAF
  5. The Reject Shop
  6. Pera
  7. JB Home
This is because these stores do not typically have time sensitive freight sent to them for the service type and customer combination.

The common receiver name against my consignment is wrong.

See explanation above for why common receivers are marked against consignments to a different receiver.

How should I set my view to ensure I don't miss anything time sensitive?

You will need to design a business process that suits your branch to ensure you manage all time sensitive consignments.

Since new addresses enter the system all the time, and these need to be clean for a common receiver to be applied (see above explanations), you can not rely on the common receiver field alone to view your consignments.

It is likely that your business process will require the use of several different views in order to be complete.

It is suggested you initially use the Preset Views to understand how your consignments will look.

To view all time sensitive consignments for your branch on your screen, use the Preset View "Unbooked".  Consignments appear on this screen when:
  1. They contain a time slot 
  2. They contain a delivery window
  3. The items have a book in scan.
You will see consignments on this screen, even if the common receiver name has not been added.  This helps to identify time sensitive deliveries where there are missing common receivers.


Idea
When looking for time sensitive consignments where the common receiver is missing:
  1. Use the unbooked screen. 
  2. Filter by Bulk / Parcel / DCX
  3. Use the Receiver suburb filter to sort consignments, this can help to keep receivers together.
